ESN NBU Buddy Program | ESN NBU
Starting a semester abroad is exciting, but it can also be overwhelming. New systems, new culture, new language, new expectations. The Erasmus Buddy Program was created to make this transition smoother, more personal, and more meaningful. Our program connects incoming Erasmus students with motivated local students before or shortly after arrival. The goal is simple: practical support, faster integration, and genuine intercultural exchange.
Title
Why the Buddy Program Exists
International mobility programs such as Erasmus+ give students the opportunity to study abroad, but integration does not happen automatically. Administrative processes, housing issues, academic adjustments, and social isolation can make the first weeks challenging.
The Buddy Program addresses this gap by providing:
- A direct local contact person
- Practical orientation before and after arrival
- Social connection beyond formal university structures
- A reliable point of support during the first months
The program is built on ESN's motto "students helping students".

How the Program Works
1. Application
Both Erasmus students and local students complete an online application form. We collect information about:
- Academic background
- Languages
- Availability
- Interests and hobbies
- Expectations from the program
This allows us to create structured, compatibility-based matches.
2. Matching
We match participants based on academic relevance, shared languages, interests, availability, and preferences where possible. The aim is not to create identical profiles, but complementary ones.
Once matched, both participants receive each other’s contact details and are expected to establish contact within a few days.
3. Pre-Arrival Contact
Local buddies are encouraged to reach out before arrival. This first contact often includes:
- Answering questions about accommodation
- Sharing practical tips about transport, banking, or SIM cards
- Clarifying arrival details
Early communication significantly reduces stress for incoming students.
4. During the Semester
The buddy relationship continues throughout the semester. Typical activities include:
- Campus orientation
- Assistance with registration or residence permit processes
- Exploring the city
- Attending student events
- Introducing local traditions
- Informal social meetings
The frequency of meetings depends on availability and mutual expectations, but regular contact is strongly encouraged.

What the Buddy Program Is — and Is Not
The Buddy Program is:
- A structured support system
- A cultural exchange opportunity
- A voluntary student initiative
- A semester-long commitment
The Buddy Program is not:
- A housing service
- A financial support system
- A dating platform
- A professional counseling service
Clear expectations ensure healthy and respectful interactions.
Title
Responsibilities of Erasmus Students
Erasmus participants are expected to:
- Communicate actively
- Respect agreed meeting times
- Take initiative
- Respect cultural differences
- Follow the Code of Conduct
The program works best when both sides contribute equally.
Title
Responsibilities of Local Buddies
Local students represent the university community and ESN NBU and ESN Bulgaria. They are expected to:
- Establish contact within a few days of matching
- Provide reliable information
- Be available for basic orientation support
- Communicate transparently
- Respect boundaries and diversity
Being a buddy is a voluntary commitment, but it requires responsibility and consistency.

Conflict Handling and Support
If challenges arise — such as communication breakdown, unmet expectations, or personal discomfort — participants are encouraged to contact ESN NBU's local board at nbu@esnbg.org. Early intervention prevents escalation.
In cases of serious misconduct or repeated unreliability, reassignment or removal from the program may occur.
Title
Program Duration
The standard commitment period is one academic semester. Continued contact beyond that is entirely voluntary.
